POSITION SUMMARY:
The Intake Specialist is a professional-level role serving as the initial and primary point of contact for students, families, faculty, and providers seeking support through the Dean of Students (DOS) and the Disability, Access, and Inclusion (DAI) offices. This role combines high-touch student engagement with complex administrative responsibilities, including triaging sensitive and complex concerns from various stakeholders, reviewing confidential documentation, coordinating temporary accommodations, supervising student employees, and maintaining accurate records. The Intake Specialist plays a critical role in advancing equity and access across the University by connecting students to appropriate support and ensuring compliance with federal disability laws and institutional policies.

The Intake Specialist plays a critical role in advancing equity and access across the University by connecting students to appropriate support and ensuring compliance with federal disability laws and institutional policies.
Duties and Responsibilities
KEY RESPONSIBILITIES:
Student Support & Communication
Student Support & Communication
- Provide clear, compassionate, and timely communication to students, families, and URI community members regarding disability accommodations, Dean of Students units and resources, and university processes.
- Respond to inquiries via phone, email, in-person, and virtual platforms (WebEx, Zoom).
- Conduct consultation and informational meetings and host drop-in hours to guide students and their supporters through the DAI accommodation eligibility and documentation requirements.
- Triage urgent or complex concerns, de-escalate distressed individuals, and refer students to appropriate DOS and University units (e.g., Title IX, Early Alert, Academic Enhancement, Student Support & Advocacy Services).
- Guide students, parents, and faculty through nuanced DOS/DAI processes such as medical documentation review, bereavement accommodation requests, student conduct disclosure, etc.).
Intake Coordination & Documentation Management
- Oversee the intake process for new disability accommodation requests, including collection and review of confidential medical and psychological documentation.
- Facilitate assignment to the appropriate office (DAI/DOS/SSAS) and case manager based on presenting needs and concerns.
- Maintain day-to-day management of electronic databases in the office, including case notes and documentation uploads, ensuring confidentiality along with FERPA and ADA/504 compliance.
- Implement and manage temporary academic, housing, and parking accommodations, including coordinating documentation review and communicating decisions to students.
- Administer the medical exemption process for parking accommodations and consult with students on alternative options when applicable.
Administrative Operations
- Maintain accurate data entry of intake forms and upload confidential documentation into case management systems.
- Create Maxient referrals for students identified to the DOS that require follow-up by SSAS, ANCHOR/BIT.
- Schedule student appointments and coordinate follow-up communications with DOS staff, including DAI and SSAS Case Managers.
- Serve as liaison between students and other campus units to facilitate timely referrals and information-sharing.
- Monitor departmental supply needs, initiate P-Card purchases within budget guidelines, and manage room reservations in the Memorial Union for DOS/DAI-related programming.
- Consult with and provide procedural guidance to other administrative professionals (HEAAs and EAs) across campus.
Program & Event Support
- Represent DAI at campus-wide events, including Orientation, Open Houses, Welcome Days, and Accessibility training sessions, as needed.
- Serve on the University Commencement Committee and coordinate with other DAI Team members to manage accessibility requests for graduates, guests, and faculty, coordinating with the Ryan Center, Facilities, and Academic Dean’s offices.
Student Employee Supervision & Peer Note-Taker Program
- Co-supervise student employees working at the DOS front desk by assigning tasks, training on office procedures, and reviewing form submissions.
- Assist with the coordination of assistive technology and note taker accommodations, recruit note-takers, liaise with faculty, onboard new hires, and ensure timely delivery of accommodations.
- Oversee hiring and onboarding processes for note-takers and student workers in collaboration with HR and DAI staff.
OTHER DUTIES AND RESPONSIBILITIES:

LICENSES, TOOLS, AND EQUIPMENT:
Personal computers, printers and word processing, database management and spreadsheet software. Case management software.
Required Qualifications
REQUIRED:
1. Bachelor’s degree in Psychology, Education, Social Work, Public Administration, or related field.
2. Minimum two years of experience supporting individuals with disabilities, student services, or case management in a higher education or human services environment.
3. Ability to work independently as part of a collaborative team, make decisions, exchange information clearly, and effectively problem solve.
4..Ability to manage high volumes of inquiries with professionalism, empathy, and accuracy, including trauma-informed de-escalation experience.
5. Strong knowledge of disability-related laws (ADA-AA, Section 504), privacy protections (FERPA), and higher education structures.
6. Exceptional organizational skills.
7. Strong interpersonal and verbal communication skills.
8. Proficiency in written communication skills.
9. Familiarity with case management software (e.g., Maxient, AIM, or similar platforms) and experience with database management (FileMakerPro), including data entry, reporting, and ensuring accuracy and integrity of records.
10. Ability to handle complex, time-sensitive, and confidential matters with discretion and sound judgment.
11. Ability to work with diverse groups/populations.
